The quick answer

Tell HR or payroll about your new name and notify HMRC separately. Agree when the change should appear on payslips and work systems, and check your bank and pension records too. Changing a display name in an email account is not the same as updating payroll.

Who needs to do what?

RecordAction
HR and payrollAsk the employer to update your existing employee record.
HMRC personal recordReport the change through HMRC’s official service or app.
Bank accountArrange the bank’s separate name update and tell payroll about any required payment-detail changes.
Workplace pensionAsk whether the employer passes the update to the pension provider.
Email and staff directoryAgree display name, effective date and any forwarding arrangements with IT.

HMRC states that employees must tell it about changed details and employers must update their payroll records. Do not assume one of these actions replaces the other. HMRC: correcting employee information; HMRC: tell us about a change of name

What to send to HR

Ask for the employer’s secure route and evidence policy. A useful request identifies your employee number, existing name, full new name, intended effective date and the document available to support the update.

Explain whether you want the same name on public-facing systems and official records. For example, someone may have an established professional name while changing personal records. Ask HR to distinguish display preferences from the identity needed for payroll and other checks.

  • Confirm which team owns the request.
  • Ask for the payroll cut-off date.
  • Identify any booked work travel or background check affected by the change.
  • Request confirmation of the systems updated.
  • Keep a copy of the request and the response.

Keep one continuous payroll record

Ask payroll to update your existing employee record so your pay history, employment start date and pension details remain connected.

Where multiple personal details need changing, payroll should follow HMRC’s reporting guidance. HMRC warns against reporting updates to more than one personal detail in the same Full Payment Submission because duplicate records may result. HMRC: correcting employee information

Employees do not need to submit an FPS themselves. This is a point to pass to the payroll team if it is uncertain how to handle the change.

A useful order for the administration

Agree the effective date with HR and check the next payroll deadline.

Provide the accepted linking evidence securely.

Use HMRC’s personal-details service to report the name change.

Coordinate bank details with payroll if necessary; a change of name need not mean changing account numbers.

Ask about pension, benefits and insurance providers connected to work.

Check the next payslip and follow up any remaining old-name correspondence.

If a payslip is needed as proof of using the new name for a passport application, ask when the updated document will be available. Do not assume an email signature is equivalent evidence.

Start your workplace update

A signed deed poll gives your employer a clear record of the change, helping you bring payroll and other employment records into line.

Privacy and staff communications

You can ask HR to agree who needs to see the supporting document, how it will be stored and whether any announcement is needed. A practical discussion can separate the confidential evidence from the ordinary staff-directory update.

If you do not want your former name circulated, make that clear before a group announcement or automated IT notification. Ask about email aliases, shared document ownership and old meeting invitations so colleagues can still contact you without unnecessary disclosure.

Frequently asked questions

You should notify HMRC yourself as well as informing payroll. HMRC identifies both responsibilities.

Ask HR how it records the change. An amendment of personal details should not be treated as starting a different job.

Discuss display-name arrangements with your employer, separately from its payroll and identity requirements.

Ask HR or payroll whether its update reaches the pension provider and check the provider’s confirmation.
